  1. Booking and payment of your arrangements

A reservation is made with us when a) you tell us that you would like to accept our written or verbal quote; and b) you pay us a deposit. If you make the reservation within 60 days of departure, payment must be made at the time of reservation); and c) we issue you a booking confirmation. We reserve the right to return your deposit and refuse to issue a confirmation at our absolute discretion. A binding contract will enter into force between you and us as soon as we have issued a booking confirmation that will confirm the details of your booking and will be sent to you or your travel agent.

Upon receipt, if you believe that any detail of the confirmation (or any other document) is incorrect, you must inform us immediately, as no changes can be made later and may damage your rights if we are not notified of any inaccuracies in any document within ten days of our shipment. The balance of the cost of your arrangements (including any applicable surcharge) must be paid no less than 60 days prior to scheduled departure. If we do not receive this balance in full and on time, we reserve the right to treat your reservation as canceled by you, in which case the cancellation charges set forth in clause 8 below will be payable.

  1. Accuracy

We strive to ensure that all information and prices, both on our website and in our brochures, are accurate; however, changes and errors do occasionally occur and we reserve the right to correct prices and other details in the circumstances. You should check the current price and all other details related to the arrangements you want to reserve before your reservation is confirmed.

  1. insurance

Adequate travel insurance is a condition of your contract with us. You should be satisfied that your insurance fully covers all your personal requirements, including cancellation fees, medical expenses, and repatriation in case of accident or illness, and existing medical conditions. Your insurance should also cover you for cycling activities and associated risks. If you decide to travel without adequate insurance coverage, we will not be liable for losses arising, in respect of which insurance coverage would have been available.

  1. Prices

We reserve the right to change the price of unsold holidays at any time and correct errors in the prices of confirmed holidays.

  1. Jurisdiction and applicable law

These Booking Conditions and any agreement to which they apply are governed in all respects by Colombian law. We both agree that any dispute, claim or other matter that arises between us in relation to your contract or reservation will be dealt with only by the courts of Colombia.

  1. Shortening your vacation

If you are forced to return home early, we cannot refund the cost of unused services. If you shorten your vacation and return home early in circumstances where you have no reasonable reason to complain about the level of accommodation and services provided, we will not offer you a refund for the portion of your vacation that you have not completed, nor will we be responsible for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer coverage for the reduction and we suggest that any claims be made directly with them.

  1. Changes made by you

If you wish to change any part of your booking arrangements after our confirmation invoice has been issued, you must inform us in writing as soon as possible. This must be done by the first person named on the reservation. While we will do our best to assist you, we cannot guarantee that we will be able to comply with the requested change. When we are able to comply with a request, all changes will be subject to payment of an administrative fee of $ 50.00 USD per person per change, as well as any applicable fee changes or additional costs incurred, as well as any costs incurred by ourselves and any costs or charge incurred. or imposed by any of our providers.You should be aware that these costs could increase the closer to the departure date the changes are made and you should contact us as soon as possible. When we are unable to assist you and you do not wish to continue with the original reservation, we will treat it as a cancellation on your part. A cancellation fee may be required. If you are unable to travel, you may transfer your reservation to another suitable person, provided you are notified in writing. An administration fee will be charged, details available upon request. 
Note: Certain arrangements may not be modified after they have been confirmed and any alterations could incur a cancellation charge of up to 100% of that portion of the arrangements.

  1. If you cancel

If you or any other member of your group decides to cancel your confirmed reservation, you must notify us in writing. Your cancellation notice will only become effective when we receive it in writing at our offices and will be effective from the date we receive it. We recommend that you use certified delivery. Since we incur costs when canceling your arrangements, you will have to pay the applicable cancellation charges up to the maximum shown below (the detailed cancellation charge is calculated based on the total cost payable by the person (s) that cancel excluding insurance premiums and amendment fees that are non-refundable in case the person (s) to whom they apply cancel):

Note: Some arrangements may not be modified after they have been confirmed and any alteration or cancellation could incur a cancellation fee of up to 100% of that portion of the arrangements in addition to the above charge.

If the reason for your cancellation is covered by the terms of your insurance policy, you may be able to claim these charges. We will deduct the cancellation fee (s) from any money you have already paid to us.

If any member of your group is unable to travel, that person (s) may transfer their place to another person (submitted by you and meeting all conditions applicable to the arrangements) provided that we are notified at least 28 days prior to departure and you pay an amendment fee of $ 50.00 USD per person transferring, cover all costs and charges incurred by us and / or incurred or imposed by any of our providers and the transferee accepts these booking conditions and all others terms of the contract between us. If you cannot find a replacement, established cancellation charges will apply to cover our estimated costs. Otherwise, no refunds will be given for passengers not traveling or for unused services.

  1. If we change or cancel

It is unlikely that we will need to make changes to your travel arrangements, but we do plan the arrangements many months in advance. Occasionally, we may have to make changes and we reserve the right to do so at any time. Most of these changes will be minor and we will inform you or your travel agent as soon as possible. We also reserve the right in any circumstance to cancel your travel arrangements. For example, if the minimum number of clients required for a particular travel arrangement is not reached, we may have to cancel it.However, we will not cancel your travel arrangements less than 60 days before the departure date, except for reasons of force majeure or for not paying the final balance.

Most alterations will be minor and while we will do our best to notify you or your travel agent of any changes as soon as reasonably possible if there is time before your departure, we will have no further liability to you. Examples of “minor changes” include the following when made before departure: 
– A change in departure time or the total length of your vacation of twelve hours or less. 
– A change of accommodation to another of the same level or classification.

Occasionally, we may have to make a major change to your confirmed arrangements. Examples of “major changes” include the following, when made prior to departure; 
– A change of accommodation area during all or a significant part of your free time. 
– A change of accommodation to one of a lower level or classification during all or a significant part of your free time. 
– A change in the departure time or the total duration of your arrangements of twelve or more hours. 
– A significant change in your itinerary, missing one or more destinations completely.

If we have to make a major change or cancel, we will inform you as soon as possible and if there is time to do so prior to departure, we will offer you the option to: 
a) (for major changes) accept the modified arrangements, 
b) receive a refund of all money paid; or 
c) accept an offer of alternative travel arrangements of comparable standard from us, if available (we will refund any price difference if the alternative is of lesser value).

You must notify us of your choice within 7 days of our offer. If you do not, we will assume that you have chosen to accept the change or alternative booking arrangements.

If we make a major change or cancel, less than 60 days prior to departure, we will also pay compensation as detailed below:

The compensation we offer does not preclude you from claiming more if you have the right to do so. We will not pay you compensation when we make a major change or cancel more than 60 days prior to departure or in the event that we are forced to make a change or cancel as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not having avoided it even with due care or if we cancel your arrangements because the minimum number of participants has not been reached to execute the arrangements. (We will inform you if we have to cancel for this reason no less than 45 days before departure).

The foregoing establishes the maximum extent of our liability for changes and cancellations and we regret that we are unable to cover any expenses or losses that you may incur as a result of the change or cancellation. Please note: where we offer accommodation priced higher than the original accommodation and you accept it, the price difference will be deducted from any compensation payable. In no case will we pay compensation if we offer accommodation and you accept it with a price higher than the one originally reserved in the same location where you do not make any additional payment.

We will not pay you compensation and the above options will not be available if we make a minor change or cancel as a result of your failure to pay in full on time or when the changes or cancellation by us arise from alterations to the confirmed reservation requested by you.

On very rare occasions, we may be forced by “force majeure” (see clause 10) to change or terminate your agreements after departure. If this situation occurs, we regret that we will not be able to make any reimbursement (unless we obtain one of our suppliers), pay you compensation or cover the costs or expenses that you incur as a result.

If we are unable to provide a significant proportion of the services you have booked with us after your departure, we will make alternative arrangements for you at no additional charge and, if applicable in all circumstances, we will pay you reasonable compensation.

  1. Force Majeure

Unless expressly stated otherwise in these booking conditions, we will not be liable or pay you compensation if our contractual obligations to you are affected by any event that we or the providers of the services in question were unable, including with all the due care, anticipate or avoid. These events may include, but are not limited to, war, threat of war, civil disturbances, terrorist activity and its consequences or the threat of such activity, disturbances, the act of any government or other national or local authority, including port or river authorities, dispute, lock closure, natural or nuclear disaster, fire, chemical or biological disaster and adverse weather conditions, sea, ice and river and all similar events beyond our control or that of the suppliers in question.

  1. Special requests

You must notify us of any special requests at the time of booking, for example, diet, room location, a particular facility in a hotel, etc. You must then confirm your requests in writing. While we will do our best to try to accommodate your reasonable special requests, we cannot guarantee that they will be honored. The fact that a special request has been noted on your confirmation invoice or in any other documentation or that it has been transmitted to the supplier is not a confirmation that the request will be honored. Failure to comply with any special request will not be a breach of contract on our part unless the request has been specifically confirmed.We do not accept reservations that are conditional on fulfilling a special request.

  1. Disabilities and medical problems

We are not a company specializing in disabled holidays, but we will do our best to accommodate any special requirements you may have. If you or any member of your group has a medical problem or disability that may affect your participation in the tour, please provide all the details before confirming your reservation so that we can try to advise you on the suitability of the chosen tour. You will be asked to complete a “Eligibility to Participate” form that you must complete accurately and honestly. In certain circumstances, we may require you to present a medical certificate certifying that you are fit to participate in the tour.Acting reasonably, if we cannot adequately meet the needs of the people in question, we will not confirm your reservation or if you did not provide us with all the details at the time of booking, you 
must be in adequate shape to cover the distances and carry out the program established in your itinerary. If any customer is felt to be not fit enough, healthy, adequately equipped or unable to complete the tour without affecting their safety, comfort or happy progress, the tour leader at any stage has the right to remove them from the tour.
Medical treatment: It is a condition of joining a tour that, in an emergency, we have your authority to organize any necessary medical or surgical treatment and to sign any required consent forms on your behalf.

  1. Risks

Cycling and cycling tours are not without risk. You must be fit and of a suitable level (indicated in accordance with the general tour information applicable to your tour) to undertake the itinerary established on the bike tour you have chosen. Your reservation is accepted with the understanding that you are aware of the dangers involved in cycling and cycling tours. You acknowledge that by the very nature of the activities you are exposed to an element of personal risk and that the activities are of a potentially dangerous and unpredictable nature beyond those associated with conventional vacations.Therefore, you accept and consent to the risks inherent in the implementation of this contract and accept as reasonable the limitations of our liability as established in these terms and conditions. You will be asked to read and sign an ‘Acknowledgment of Responsibility and Responsibility’ form before starting your tour. This will then become part of your contract with us.

  1. Complaints

We do our best to ensure that your holiday arrangements go smoothly, but if you have a problem during your holiday, please inform the appropriate supplier (e.g. your hotelier) and your tour guide immediately, who will endeavor to fix the things. If your complaint is not resolved locally, please contact our office in Colombia, the details of which will be provided to you prior to starting your tour. If the issue cannot be resolved and you wish to make an additional complaint, you must send us formal written notice of your complaint to our UK office within 28 days of the end of your stay, providing your booking reference and all Other relevant information. Please keep your letter concise and to the point.This will help us quickly identify your concerns and expedite our response.

  1. Your behavior

All guests staying with us are expected to conduct themselves in an orderly and acceptable manner and not to disrupt the enjoyment of other guests. If in our opinion or in the opinion of your tour guide, any hotel manager or any other person in authority, your behavior or that of any member of your group is causing or is likely to cause distress, danger or annoyance to any of our other guests or any third party or property damage, or to cause a delay or diversion of the tour or other transportation, we reserve the right to terminate your booking arrangements with us immediately. In the event of such termination, our responsibility to you and / or your group will cease and you and / or your group must immediately leave the tour.We will have no further obligations to you and / or your group. No refunds will be made for lost accommodation or any other services and we will not pay any expenses or costs incurred as a result of termination. You and / or your group may also have to pay for losses and / or damages caused by your actions and we will hold you and each member of your group, jointly and individually, responsible for any damages or losses caused. by you or any member of your group. match. Full payment for such damage or loss must be paid directly to the hotel manager or other supplier prior to departure from the hotel.If you do not make payment, you will be responsible for handling any claims (including legal costs) that are subsequently brought against us as a result of your actions, along with all costs we incur in filing any claim against you.

  1. Our responsibilities

b) the act (s) and / or omission (s) of a third party outside the provision of the contracted services and that were unforeseeable or unavoidable; or 
c) unusual or unforeseeable circumstances beyond the control of us or our provider (s), the consequences of which could not have been avoided even if due care had been taken; or 
d) an event that neither we nor the suppliers could, even with due care, have foreseen or anticipated.

3) We limit the amount of compensation we may have to pay you if we are found liable under this clause:

a) loss and / or damage to any luggage or personal possessions and money,

The maximum amount that we will have to pay you in respect of these claims is an amount equal to the excess of your insurance policy that applies to this type of loss per person in total because it is assumed that you have adequate insurance to cover any loss. of this type.

b) Claims that are not included in point (a) above and that do not involve injury, illness or death

The maximum amount that we will have to pay you in respect of these claims is double the price paid by or on behalf of the person (s) affected in total. This maximum amount will only be paid when everything has gone wrong and you or your group have not received any benefit from your reservation.

c) Claims regarding international travel by air, sea and rail, or any stay in a hotel.

i) The scope of our liability will be limited in all cases as if we were carriers under the relevant Conventions, which include the Warsaw / Montreal Convention (international air travel); The Athens Convention (with respect to travel by sea); The Berne / Cotif Convention (regarding train travel) and the Paris Convention (regarding hotel arrangements). You can request copies of these Conventions at our offices. Please contact us. Furthermore, you agree that the operating company or transport company’s own ‘Conditions of Carriage’ will apply to you on that trip.When arranging transportation for you, we rely on the terms and conditions contained in these international conventions and those ‘Conditions of Carriage’.

ii) In any circumstance where a carrier is liable to you under the Denied Boarding Regulations 2004, any liability that we may have to you under our contract with you arising out of the same facts is limited to those resources provided for in the Regulation as if (only for this purpose) we were a carrier.

iii) When making any payment, we have the right to deduct the money that you have received or are entitled to receive from the carrier or hotelier for the complaint or claim in question.

4) It is a condition of our acceptance of liability under this clause that you notify us of any claim to ourselves and to our supplier (s) strictly in accordance with the claims procedure set forth in these conditions.

5) When a payment is made, the people who receive it (and their parents or guardians if they are under the age of 18) must also assign to ourselves or our insurers any rights they may have to pursue a third party and we must provide it to us themselves and our insurers with all the assistance we may reasonably need.

6) Please note that we cannot accept any responsibility for any damage, loss or expense or other sum (s) of any description: (a) than based on the information you provided us regarding your reservation before If we accept it, we could not have anticipated what you would suffer or incur if we breached our contract with you; or (b) are related to any business.

7) We will not accept responsibility for services or facilities that are not part of our agreement or where they are not advertised in our brochure. For example, any excursions you book while you are away, or any services or facilities that your hotel or any other provider agrees to provide you.

  1. Excursions

Excursions or other tours that you may choose to book or pay for while on vacation are not part of the arrangements you have made with us. For any excursion or other tour that you book, your contract will be with the excursion or tour operator and not with us. We are not responsible for the provision of the excursion or tour or anything that happens during the course of its provision by the operator.

  1. Passport, visa and immigration requirements and health procedures

It is your responsibility to verify and comply with the passport, visa, health and immigration requirements applicable to your itinerary. We can only provide general information on this. You should verify the requirements for your own specific circumstances with the relevant embassies and / or consulates and with your own physician, as appropriate. Requirements change and you must check the updated position in advance before departure. 
Most countries now require passports to be valid for at least 6 months after the date of return. If your passport is in your last year, you should check with the Embassy of the country you are visiting. For more information, contact your country’s Passport Office.In addition, you can get up-to-date travel information from your government’s travel information department. 
Non-Colombian passport holders should obtain updated advice on passport and visa requirements at the Colombian Embassy in their country, or the High Commission or the Consulate of Colombia, where they travel. 
We do not accept any responsibility if you are unable to travel, or incur any other loss due to failure to comply with any passport, visa, immigration requirements or health procedures. You agree to reimburse us in connection with any fines or other losses we incur as a result of your failure to comply with any passport, visa, immigration requirements, or health procedures.

  1. Suppliers conditions.

Many of the services that make up your vacation are provided by independent providers. Those providers provide these services on their own terms and conditions. Those providers provide these services in accordance with their own terms and conditions, which will form part of your contract with us. Some of these terms and conditions may limit or exclude the supplier’s liability to you, generally in accordance with applicable international conventions. Copies of the relevant parts of these terms and conditions are available upon request from us or the supplier concerned.

  1. Delays, missed transportation arrangements, and other travel information

If you or any member of your party misses your flight or other transportation arrangement, is canceled, or is subject to a delay of more than 3 hours for any reason, you should contact the airline or other transportation provider in question immediately.
